FAQ

Questions, answered

Everything you need to know about Whitewater and early access, in plain language. Cannot find your question? Email sales@whitewaterintelligence.com and a real person on the founding team will get you a straight answer.

Getting started

Whether Whitewater fits the team you have, and what it takes to begin.

Do I need to already run a formal operating system to use Whitewater?

No. Whitewater works for teams already running a structured operating method, teams on a hybrid of their own, and teams that simply want a more disciplined weekly cadence for the first time. The vision plan, quarterly priorities, pulse meetings, live scorecard, and accountability chart are all built in, and you can adopt them one at a time, at your own pace, rather than swallowing a whole methodology on day one. If you already run an EOS-style system, everything will feel familiar and map cleanly onto what you do. If you do not, the structure is there waiting the moment your team is ready for it.

What size company is Whitewater built for?

Founder-led companies of roughly 10 to 50 people are the sweet spot: leadership teams that need real structure without enterprise overhead or a full-time operations hire to run it. Smaller teams grow into it comfortably, and larger teams are handled too, since multi-team and multi-org are first-class and the Enterprise plan runs unlimited companies from one login. Teams running a mix of methods, part EOS-style and part their own, fit just as well, because you turn on only the pieces you actually want. The simplest test: if you are a founder who can still name everyone in the room but can no longer hold the whole business in your head, this was built for you.

The platform

What Whitewater replaces, and how the pieces work together.

What tools does Whitewater replace?

Most teams replace four to six at once: Ninety.io or Bloom Growth for meetings and priorities, Asana, Monday, or ClickUp for projects, a stack of spreadsheets for KPIs, Notion or Google Docs for meeting notes, and often a separate coaching engagement on top. With Whitewater it all lives in one platform, behind one login. And because the modules share a single closed loop instead of sitting in separate apps, nothing is re-typed and nothing has to be reconciled between tools, which is where most of the weekly busywork actually hides.

What are the AI coaches, and how do they work?

The Vision, Operations, and People coaches, plus Miranda, the always-on assistant, are thought partners grounded in your company's own curated operating knowledge: the notes you maintain about how your business actually runs. Because they live where your plan, meetings, and scorecard already are, they answer with your context instead of asking you to paste it in. They help you prep for a pulse meeting, pressure-test a quarter's priorities, and surface issues before they grow, and they read the same numbers you are looking at. They advise; you decide. We never train AI models on your business data.

Early access & pricing

How the pre-launch program works, and what it costs.

How does early access work?

Early access is free for up to five users while we build toward general availability. You get the full platform, hands-on onboarding, and help importing your vision plan, priorities, scorecard, and accountability chart from Ninety, Bloom, or spreadsheets, plus a direct line to the founding team while the product is still taking shape, so your feedback genuinely steers what we build next. There is no credit card and no commitment: if it is not helping your team after a few weeks, you walk away with your data and no hard feelings. When paid tiers launch, you keep locked-in founding-member pricing, and every plan stays cancel-anytime with no lock-in. See the full pricing at launch for the tier details and the money questions.

Security & data

How your company's data is protected: the commitments we put in writing.

Is my company data secure and isolated?

Yes. Every organization's data is fully isolated at the database layer, so no company can ever see another's, and everything is encrypted in transit with TLS and at rest with AES-256, with role-based access control on top. Isolation is architectural rather than a setting you have to remember to switch on, so it holds by default the moment you add a second company. We never sell personal information, we never train AI models on your business data, and if you close your account your data is permanently deleted within 90 days. The full detail lives in our privacy policy, in plain language rather than legalese.

Still deciding? Try it on your own numbers.

Request early access, import your priorities and scorecard, and run one real pulse meeting on Whitewater. That tends to answer more than any FAQ can.
